This privacy policy explains how Fit & Proud collects, uses, stores and protects personal data when you visit our website, download a resource, complete a Meta/Facebook or Instagram Instant Form, apply for coaching, contact us or use our services.

Depending on how you interact with Fit & Proud, we may collect:

• Information you provide in an application, questionnaire or Instant Form, such as your goals, preferred support, readiness to start and answers used to assess whether coaching may be suitable.
• Messages and correspondence you send to us by email, Messenger, Instagram, WhatsApp or another communication channel.
• Client administration information, including booking details, coaching records, invoices and payment status.
• Technical information collected through our website or service providers, such as IP address, device/browser information, cookies and page interactions, where applicable.
Please do not submit medical records or other sensitive health information through an advertising lead form. Where health-related information is genuinely needed for coaching safety or personalisation, it will be requested separately and handled with additional care and an appropriate legal basis.
3. How and why we use your data
To provide a requested resource or respond to an enquiry: to take steps at your request and to provide the service or information you asked for.
To review a coaching application and contact you about it: to respond to your request and, where applicable, for our legitimate interest in managing genuine enquiries.
To deliver coaching and manage the client relationship: to perform a contract, manage appointments, support, billing and service administration.
To send optional marketing emails or promotional messages: only where you have given valid consent, unless a limited legal exception applies.
To operate, secure and improve our website and services: for our legitimate interests in security, administration, analytics and service improvement, subject to your rights.

4. Meta/Facebook and Instagram Instant Forms
When you submit a Fit & Proud Instant Form on Facebook or Instagram, Meta provides the information you entered to Fit & Proud. We use it to send the resource you requested, assess your enquiry or application, and contact you about the specific request you made.
Meta also processes information under its own privacy terms. Fit & Proud does not control Meta's independent processing, advertising systems or account-level data practices.
5. Marketing choices
Receiving a requested checklist, application response or service message does not automatically subscribe you to ongoing marketing. For promotional emails, SMS or similar electronic marketing sent to individuals, we will normally ask for a separate, clear opt-in that is not pre-ticked.
You may withdraw marketing consent at any time by using the unsubscribe link in an email or by contacting us. Withdrawing consent does not affect processing that was lawful before withdrawal.
6. Who receives your data?
We may use trusted service providers only where reasonably necessary to operate the business. These may include:
• Meta Platforms, where you submit a Facebook or Instagram form or communicate through its services.
• Email and marketing platforms, such as MailerLite, where used.

Service providers may process data only for the relevant service and under their own contractual and legal obligations. Fit & Proud does not sell your personal data.

8. How long we keep your data
• Prospect and enquiry data: generally up to three years from collection or from your last meaningful contact with us, unless you object sooner or a longer period is legally justified.
• Marketing consent and suppression records: for as long as needed to respect your preferences and demonstrate compliance.
• Client and contractual records: for the duration of the relationship and then for the periods required by accounting, tax, consumer and limitation rules.
• Unsuccessful or incomplete application information that is not needed: deleted or anonymised when it is no longer useful for the stated purpose.
